HEAD; INTERNAL AUDIT AND CONTROL
REPORTS TO: MANAGEMENT
JOB DESCRIPTION
• Prepare Internal audit plan and provide oversight and direction in the execution, and reporting of internal audit engagements and projects within established timelines and budgets.
• Coordinate with External Auditors, ensuring efficient implementation of the overall statutory financial audit plans.
• Oversee and review the drafting of internal audit reports and other audit deliverables, and direct the work conducted by external auditors.
• Conduct periodic financial, compliance, operational and special audits and carry out investigations into reported irregularities, as required.
• Review analyses of non-conformities, discuss audit findings across the organization and suggest recommendations.
• Report to the Management regarding internal control matters, results of audit reviews, the progression of audit plan and any other matters of discussion.
• Stay abreast of industry trends and changing regulatory guidelines to enable the development and implementation of appropriate control measures and monitoring mechanism as well as their continuous update / revision.
• Attend and participate in relevant meetings with key stakeholders.
• Developing and executing internal audit activities, consult with management on strategic plans and other business matters, and anticipate emerging risks.
• Documenting and testing business process and IT controls that support key operations.
• Evaluating control deficiencies, and monitoring remediation actions, timelines, and progress.
• Proactively inform management of significant risks or exposures related to internal controls, compliance, and/or governance requiring prompt attention.
• Facilitate continuous identification and periodic assessment of business risks in the operating environment and update the risk registers.
• Monitor and report on Key Risk Indicators (KRIs) and implementation of risk mitigation strategies.
• Ensure appropriate level of communication is maintained on Internal Audit and Control matters to support the framework and ensure appropriate ownership and accountabilities from management and managers.
• Conduct follow-up reviews of financial, operational, or regulatory compliance deficiencies noted during audits.
• Prepares monthly exception reports and presents to the Management.
• Build and manage great relationships with business partners, providing insights and challenges that enable them to proactively manage performance.
• Deliver insights that are highly valued, identify root causes, share best practices and lead to business improvement.
• Perform scheduled and unscheduled (spot checks) audit visits to all the branches, warehouse, and other businesses.
• Create and maintain the whistleblowing channels of the Group and provide periodic reports to the Management.
• Conduct investigations on reported cases of fraud and misconduct and prepare investigation reports.
• Flexibility to carry out any other task as requested by Management and Board of the Group.
KEY PERFORMANCE INDICATORS
• Adequacy of the internal audit plan.
• Level of execution/achievement against the plan.
• Accuracy, timeliness, and completeness of reports.
• Number and significance of issues/ inconsistencies and process improvement opportunities identified in business processes.
• Frequency of incidences of control failure.
• Adequacy and timeliness of follow-up on regulatory and statutory filings.
• Magnitude of calculated losses due to fraud and other control failures.
• Number or frequency of queries.
• Number of unresolved cases to identified issues.
• Number of control improvements implemented annually in line with best practice recommendation.
• Decline in code of conduct violations reported via the whistleblowing channels.
• Number of whistleblowing cases closed out.
• Turnaround time for cases under investigation.
• Other KPIs as may be defined in line with changing business environment.
• Ensure that the branch's daily operations are done in line with the company's policies and procedures.
INTERNAL AUDIT/CONTROL OFFICER
REPORTS TO: HEAD, INTERNAL AUDIT AND CONTROL
JOB DESCRIPTION
• Develop a thorough and continuous understanding of the business, risks and processes across departments and systems.
• Perform all the defined Internal Control routine activities properly and on time and with minimal supervision.
• Carry out or contribute to financial, operational, and business processes compliance such as, ensuring sales, payments, purchases, procurement, and accounting processes are void of fraud or error.
• Conduct spontaneous and periodic count of petty cash and inventories in all the branches, warehouse, other businesses and compare to system records.
• Review of quotes before sending to clients-with specific reference to prices applied, discounts, VAT, installation charges if any and more.
• Reports risk management issues and internal controls deficiencies and provides recommendations for improving the organization’s operations.
• Assess the reliability and effective use of internal controls and assist in reviewing administrative procedures.
CHIEF ACCOUNTANT
REPORTS TO: FINANCIAL CONTROLLER/CFO
JOB DESCRIPTION
• Oversee and review work done by the related payables accountants.
• Oversee and review work done by the related revenue and receivables accountants.
• Preparation of Monthly management reports for the assigned branch(es).
• Preparation of financial analysis and reports for the assigned branch(es)
• Ensuring that performance of the branches is in line with the approved plan.
• Contributing to the development of new or amended accounting systems, programs, and procedures.
• Preparing and monitoring the use of annual budgets for the assigned branch(es) to ensure its expended for its original purpose and reporting variance with recommendations.
• Coordinating accounting functions and programs.
• Preparing quarterly revenue projections and forecasting expenditure for the branches.
• Responsible for the performance of the assigned branch(es).
• Ensure the achievement of the branch(es) monthly and annual profit projection.
• Any other work assigned by the CFO.
ACCOUNTANT; PAYABLES & OPERATIONS
REPORTS TO: CHIEF ACCOUNTANT
JOB DESCRIPTION
• Preparing payment schedule for upload.
• Capturing transfer payment requests on Fax E-payment tracker
• Maintaining records of all bank and cash transactions.
• Attending and Reconciling suppliers’ disputes.
• Management of HQ and assigned branch(es) petty cash and payments.
• Preparing a weekly report of all payment made through expense report.
• Assist in budget preparation and expense control activities.
• Preparation of Payable reports for management review.
• Check accuracy of invoices issued by vendors.
• Input and code invoices to cost centre (branches).
• Match Invoices with Purchase Order (if applicable)
• Send invoices to Manager for payment approval.
• Verify and process employee expense claims and manage the approval and payment process.
• Update and maintain vendor database in a timely manner
• Perform reconciliations including supplier statement reconciliations, and more
• Support the month end process by providing supporting documentation for month end journals
• Report on Aged Payables plus other ad hoc reporting where applicable
• Identify improvements to the accounts payable process.
ACCOUNTANT; PAYROLL, TAX AND COMPLIANCE
REPORTS TO: CHIEF ACCOUNTANT
JOB DESCRIPTION
• Preparation and remittance of pension.
• Entering payroll information and maintaining payroll files.
• Calculating salaries, overtime earnings and other deductions.
• Generating payroll reports for FAXX Managers to review.
• Updating payroll systems, including employment hires and terminations.
• Preparing payroll and tax reports for federal, state, and local agencies when required.
• Attending to payroll inquiries from employees.
• Prepare tax provisions schedules, returns, payments, reports and maintain FAXX tax database.
• Prepare accurate tax schedules and timely tax remittances as and when due (VAT, WHT, PAYE, CIT, EDTAX, etc).
• Determine tax savings and recommend strategies to improve profits.
• Evaluate tax regulations and suggest policies that diminish tax burden.
• Ensure complete compliance with regulatory requirements like NSITF, ITF, NHF etc.
• Keep track of industry trends and changes related to taxes.
